Submitting offline

ABOUT

The Formotus service allows you to use and submit your Formotus mobile business forms from your mobile devices--while offline.  In order to use your Formotus forms offline, be sure that all the forms you plan to use are installed on your device--before you go offline.  Forms can only be installed when online, but once they are installed, you can use them offline as long as you want to.  

There are differences between the various mobile operating systems for how you can submit while using your Formotus forms offline. The scenarios below describe the offline use on devices running iOS, Android and Windows.

iOS

Submitting by Email--offline:

When a Formotus form is submitted by email, with the email client (Apple email, Outlook etc.) on your mobile device, you can choose to include PDF, XML, and HTML file attachments.  When you submit the email offline, the email will be stored in the email client’s outbox until the device regains connectivity to Wi-Fi or LTE. [Note: Please do not confuse the email client outbox with the Formotus mobile app's Outbox.]  Once an email is sent, it is removed from the Formotus app Outbox and put in the outbox of you mobile email client (Apple email, Outlook etc.) When you want to verify that your Formotus forms have been successfully submitted by email, please check your iOS device's email client outbox.

Note: if you use the Apple email client, the submitted Formotus forms will automatically be sent from the Apple email outbox when your device reconnects to the network. However, if you are using Outlook or any other email client, you will need to open your email app in order for the forms to submit.]  To verify that your Formotus forms have been successfully submitted by email, please check your device's email client outbox.

Submitting to SharePoint and Google--offline: 

When you submit directly to SharePoint (on premise or in the cloud) or other data stores, the submitted forms will be queued in the Formotus mobile app Outbox.  When the device reconnects to Wi-Fi or LTE, you will need to open the Formotus mobile app on your device to enable your forms to submit.  This is necessary because of the iOS operating system limitations.  Android and Windows devices will download automatically.

[Note: If Federated Authentication is enabled, you will not be able to submit to Google or SharePoint while offline.]

Android

Submitting by Email--offline:

There are 2 ways to submit by email on Android. These options are found in the Settings of the Formotus mobile app (pictured below).

1.  Use Gmail: The form data in the PDF, XML, and HTML attachments will be submitted to the Formotus app Outbox. The forms in the Formotus app Outbox will be automatically submitted when the device reconnects to the network.  This is the recommended way to submit forms.  This option does not involve a separate email client when submitting.  This setting selected by default. 

2.  Use another email account: If you choose this option, the Formotus app is unable to generate a PDF when submitting through email while offline.  The XML and HTML attachments will be generated and submitted successfully when the mobile device reconnects to Wi-Fi or LTE.  When using this option, the email client will pop up, and the forms will be transferred to the email client outbox.

Submitting to SharePoint and Google--offline:  

When you submit directly to SharePoint (on premise or in the cloud) or other data stores, the submitted forms will be queued in the Formotus mobile app Outbox. The forms in the Formotus app Outbox will be automatically submitted when the device reconnects to the network.

Windows

Submitting through Email--offline:

If you choose this option, the Formotus app is unable to generate a PDF when submitting through email while offline.  The XML and HTML attachments will be generated and submitted successfully when the mobile device reconnects to Wi-Fi or LTE.  When using this option, the email client will pop up, and the forms will be transferred to the email client outbox.

Submitting to SharePoint and Google--offline: 

When you submit directly to SharePoint (on premise or in the cloud) or other data stores, the submitted forms will be queued in the Formotus mobile app Outbox. The forms in the Formotus app Outbox will be automatically submitted when the device reconnects to the network. When submitting to Google offline, you may need to log into Google for the drafts to successfully submit once back online.
